Get Started 3 - Set up your timetable

Classes are the core of your school so let's create a class...

Your first step in Class Manager is to create a Class and - don't worry - it's only a couple of screens and will take a couple of minutes (We've detailed every step in turn so it looks more complicated than it is) ⏰:

  1. Find Classes in the main menu on the left and click < and in the expanded menu click Create Class.
  2. As this is your first time using Class Manager you will first be asked to create a Season.  Seasons group together all the classes within a specific period of time to usually reflect how you do your billing cycle (e.g. A school term). 
  3. Enter a Name for your season (e.g. Summer Term 2024).
  4. Enter a Start Date by entering the Day, Month and Year.
  5. Enter the Finish Date by entering the Day, Month and Year.
  6. Click the SAVE button. You'll be taken to the Season page so we can now go ahead and create the Class.

    We know what you're thinking - what about holidays? 🗓️ Yes, Class Manager can cope with holidays. Holidays are periods in the term when you have no lessons (so aren't charged for) and are be added via Settings. You can read more about Holidays here.

    Once you have your season created you will now want to add some classes.. 
    1. Click the Create Class button. This will change the screen and you'll need to enter the details of your class. You can enter a range of information (such as logo and colours) but the following information is required (indicated by a red * in Class Manager):
    • Type in a Name for your class (e.g. Under 7's foundation class)
    • Type in a Description for your class.
    • The Season will be pre-selected (to the one you just created).
    • Select a Venue. To do this click Click to select and choose the displayed Venue. A default Venue is created when you create your account. You may have multiple venues and these are setup via the Settings menu (read more on Venues here). 
    • Select a member of Staff. To do this click Click to select and choose the displayed person. The person who created the account has been set up as a default member of staff so we'll choose this person for the moment. You may have multiple members of staff and these are setup via the Staff menu (read more on Staff here). 
    • The Start Date and End Date will be set to that of the Season.
    • Choose the Occurrence of the class (how frequently the class runs) by clicking Click to select and choosing one of Daily, Weekly, Fortnightly, Monthly or Yearly.
    • Select the Days the class runs by clicking Click to select and choosing a day of the week. Select a day and it will appear in the list. To remove a day click the x to the left of the day and to add another day (e.g. if you have a class that runs on multiple days) click again in the space and select another day.
    • Choose the Format of the lesson by clicking Click to select and choosing one of Group or Private.
    • Enter the Minimum and Maximum age by clicking Click to select and choosing either Any or a specific age (1 thru to 100).
    • Enter the Price of the Class by entering the £/$ amount (the Up and down arrows go up and down by 1 cent/pence at a time). 
    • Choose the Frequency of the charge by clicking Click to select and choosing one of Term, Lesson, Week or Month.

Class Manager will automatically calculate the total invoice due by multiplying the Price x Frequency. E.g. if you have set Price to (£|$)10 and frequency to Lesson, then the total price would be (£|$)10 x #lessons in a term. In a 10 week term, this would mean an invoice (£|$)10 x 10 or (£|$)100. We don't include charges for any holidays.

Once you are happy with your class set up, click the Save button in the top right hand corner of the screen. If you have not given all the information required then the screen will remain and missing information will be highlighted in red. If you have entered all the information then the lesson will be saved and you will be taken to the next screen 'Lesson Detail'.

    • The screen will display some of the information already chosen in the previous screen and you will need to select the duration of the class by clicking select interval and choosing an amount of time (0 to 3 hours in intervals or custom). If custom is chosen, simply enter the # of minutes.
    • Once a duration is chosen, the screen will refresh and you can choose a timeframe. Click the displayed time and choose the timeframe the class will be held (e.g. 3pm - 6pm for a 3 hour class).
    • Click the Save button in the bottom of the right hand corner of the screen. The Save will be confirmed on screen and you will be taken to the Lesson Setup list.
