Get Started 5 - Enrol students

Once you have set up your class and payment methods, you are ready to add students...

Note: As this is your first time through we'll show how to set yourself up as a (fake) customer using your own register link so do not worry - you won't need to send this to any real customers yet! To do this, you will need a separate device; we would advise doing the customer steps from your mobile phone. 


Now you have a season with a class, and a payment method active and ready for your customers to use. That means you are ready to add some students; and it is so easy to do this! 😍

 We will take you through the steps for you and your customers though, so you know! 


First you will want to enable portal enrollment; this means once your customers register to your portal they can enrol themselves to their own classes. To enable this feature, follow the steps below 🙌

  1. Click < to the right of Settings and in the expanded menu click Company and then on Information
  2.  Update the 'Portal Class Enrolment' options to whichever option you prefer: 
    Disabled - the option is disabled and classes cannot be enabled 
    Manual Approve Enrolments - a staff member will be able to approve or reject enrolments for classes. 
    Automatically Approve Enrolments - the student is automatically approved for the selected classes
    Require Upfront Payment To Approve Enrolments - if you have Stripe enabled on your account customers will be required to pay the required price for the classes they choose to enrol into. Once payment is confirmed the enrolment is approved
  3. Select the option you would like to enable.
  4. Click on Save to update changes.

Please note that these settings will effect all classes on your Class Manager account, you will need to decide what classes are enabled or disabled. 


Once this has been activated, you can decide which of your classes you would like to opt into this feature.

  1. Click on Classes
  2. In the expanded menu click on View All
  3. Click on the season name you wish to update
  4. Select the classes you would like to opt into online enrolments using the checkbox
  5. Under Group Actions click Enable Portal Enrolment
  6. A warning will appear to double check these actions 

    Once these have been enabled, the red crosses on the side of the table will turn to green ticks, so you will know that these classes are now active on the portal. This means the classes are searchable and bookable through the parent portal.

From there, as admin you have one more simple step..

Head to the dashboard and under the 'My Portal' widget, click Copy Register Link (this is what you would provide to your customers). So for now, send this to yourself so you can access this link on your second device where you will sign yourself up to your school as a customer.

Now on your second device you are now acting as a customer. Follow the steps below to create an account..

  1. Using your mobile phone, open the internet browser and paste the copied link into the URL bar.
  2. Enter in your personal email, create a password and agree to the terms and conditions and privacy policy of Class Manager to register as a 'customer'. 
  3. Select who is signing up, the options showing are:
    'Child - I am a parent or caregiver and will be booking classes for one or more children'
    'Myself- I will be booking classes for myself ' 
    So for now, lets select you are signing up your child!
  4. Give some details the customer. This includes first name, last name, phone number and billing address
  5. Then add some details for the student. Select Add new student and enter their first name, last name, date of birth and gender before selecting Continue
  6. Once the student is created, finalise by selecting to Register 

Do not forget if you had your portal enrolment setting as MANUAL you will need to first head to Customers > Portal Registrations and approve the request before they are an active customer on your portal


Congrats! Your first account has been created! 🎉 Now you will want to add your student into their classes. 

  1. Head to the dashboard and under the Enrolments widget, click Enrol Now
  2. Select your student to enrol 
  3.  Find the desired class from the list below (you can search for a particular class or filter the list using the search bar near the top of your page).
    Notice a class missing? Classes that are not suitable for that student will be hidden from their view (their age is not in the range required for a class/they already attend a class at that time)
  4. Enrol to your class by selecting Add To Enrolment List (a green tick will appear to show this action has been successful).
  5. When you have successfully enrolled your student to their class/classes, head to the bottom of the page and select Confirm
  6. You will be taken to a page to review your enrolments where you are prompted to double check your enrolments here and make changes if needed. Once you are happy with this page, select to Enrol 


               ⭐ And that's it! Your student has been added into the class!
