File Attachment for Classes, Customer, Student, and Staff Profiles

Need to share something with your clients or colleagues? Now you can attach files to your customer, student, staff profiles or classes.

You can conveniently attach files to customer, student, and staff profiles, as well as to the whole class. The process remains consistent whether you're uploading files to customer, student, or staff profiles.

Attaching files to individual customer, student, or staff profiles:

  1. Click < to the right of CustomersStudents, or Staff.
  2. In the expanded menu click View All.
  3. Locate the profile to which you wish to add or share file(s).
  4. Open their profile by selecting their name, and going to the Files tab, you'll find the option to Upload File.
  5. Select the file(s) you wish to attach.
  6. Once all files are attached, remember to click Save.
  7. The attached files will be listed in the 'Files' tab. You can make files accessible to customers and students by toggling them to Shared. If the files aren't toggled as Shared, customers, students and staff members won't be able to download or view the file(s).

If you'd like to share file(s) with the whole class, you can upload them directly from the class page and share them with everyone in the class.

Attaching files to the whole class:

  1. Click < to the right of Classes.
  2. In the expanded menu click View All.
  3. Select the appropriate season and locate the class.
  4. Go to the Files tab and click Upload File.
  5. Select the file(s) you want to attach.
  6. Remember to click Save.
  7. You can make files accessible to everyone in the class by toggling them to Shared. If the files aren't toggled as Shared, customers, students and staff members won't be able to download or view the file(s).
  • You can attach up to 5 files to each class, customer, student, and staff profile.
  • Each file should not exceed 5 MB in size.
  • Supported file formats include doc, docx, xls, xlsx, csv, jpg, jpeg, png, txt, pdf, zip, mp4, mov, and avi.

Accessing shared files for customers and students:

Customers and students can easily access shared files through the portal. Here's how:

  1. Log in to the customer portal.
  2. Click Profile on the menu.
  3. Click My Files.
  4. In the My Files section, click Download to view the file.

Accessing shared files for staff members:

Staff members can access the shared files through their Class Manager account. However, it may be necessary to adjust their permissions to ensure access. Here are the permissions required:

  1. For accessing files shared with individual staff members:
    1. Staff section: List Staff and View Staff permission to view their profile.
    2. File section: List File and Show File permission to see the list of files and download them.
  2. For accessing files shared with the class:
    1. Class section: List Classes and View Classes permission to view class details.
    2. File section: List File and Show File permission to see the list of files and download them.

Here's how staff members can locate and download the shared files:

  1. Log in to your Class Manager account.
  2. Click < to the right of Staff, or Classes.
  3. In the expanded menu click View All.
  4. Locate your profile or the desired class.
  5. Navigate to the Files tab and click Download to view the file.
