Passing Processing Fees to Your Customers

Understanding availability and setup

Some schools prefer to pass on card processing fees to their customers so they can recover the cost of online payments. Class Manager supports this, but availability depends on your country’s regulations.

Who Can Enable This Feature?

Non-EU countries:

Schools outside the EU can enable the option to add a small surcharge to cover payment processing fees. This includes regions like Australia, New Zealand, and other non-EU territories.

EU countries:

Merchants based within the European Union cannot pass processing fees to customers. This is due to PSD2 regulations, which prohibit surcharging for most consumer and business card payments.

How to Enable Processing Fee Surcharges

If your country allows surcharging, you can turn this feature on in your Billing Settings:

  1. Go to Billing > Settings > Payment Methods.

  2. Click Edit on the Debit/Credit Card box.

  3. Toggle on Service Charge Amount to Customer, then Save.

  4. After saving, a new Service Charge Settings section will appear.

  5. Enter the percentage and/or fixed amount you want to pass on.

  6. Save your changes again.

Once enabled, the surcharge will be automatically applied during checkout.

What Your Customers Will See

When they check out, the processing fee will appear as a separate line item. This keeps everything transparent and ensures families understand how the surcharge applies.
