A step-by-step guide to preparing your next term or season in Class Manager.
Getting ready for a new term or season in Class Manager? You have two options:

Clone a Previous Season ➡️ Reuse your existing setup with just a few updates.

Start a Fresh Season ➡️ Create everything from scratch using the checklist below.
Either way, this guide will help you make sure everything is ready before enrollments open.
Option 1: Clone a Previous Season
If your new season looks similar to your last one, cloning will save you time. You can choose to copy the classes, enrollments, waiting lists, and even packages.

💡 Tip: This is perfect if your timetable doesn't change much between terms.
Option 2: Start a Fresh Season
If you’re creating a brand-new setup, follow this checklist:
1. Review Venues and Rooms
- Make sure your venues and rooms are up to date under
Settings>Venues>View All. - Archive any rooms you no longer use, and add new ones if needed.
- This ensures classes are assigned to the right space and avoids clashes in your timetable.
2. Update Staff

Check that staff handling classes are added in
Staff>View All.
3. Create Classes

4. Adjust Enrollment Settings

5. Review Pricing & Invoicing
- Update class fees to match your new season.

Make sure your preferred payment methods (Stripe, GoCardless etc.) are active.
6. Communicate with Parents

Send an announcement via
Messages>Create Email. -
Share your season start date, fees, and portal link.
7. Test the Parent Portal

Log in as a parent to preview how your new season looks. (You can create a test parent account to experience the portal firsthand)

Confirm class details, pricing, and enrollment options display correctly.
