Importing Your Customer, Student and Staff Data

When you start setting up your Class Manager account, we can upload your customer, student and staff data for you from a spreadsheet

Importing customer, student, and staff data into your Class Manager account can streamline your setup process. Here's how you can do it:
  1. Prepare Your Data: After completing the Getting Started page, you may opt to import your data from a spreadsheet rather than entering it manually. Simply fill out our provided spreadsheet with the necessary information.
  2. Submit Your Spreadsheet: Once your spreadsheet is ready, you can send it to us via email at hello@classmanager.com or through our live chat support. If you have concerns about data privacy, you can protect the file with a password and provide us with the password securely through chat or phone.

A few things to note:

  1. Required Fields: The essential fields for each entry are first name, surname, and email address. All other fields are optional, so if you don't have certain information, you can leave those fields empty. It's crucial to ensure that each customer has a unique email address.
  2. Multiple Customers for One Student: If there are multiple customers responsible for a student (such as parents or grandparents), include only one of them in the spreadsheet. Additional contacts can be added later as contacts, allowing them to receive emails and invoices.
  3. Matching Emails: It's important to note that customer and student emails must be identical to ensure they are correctly matched within the system after the data is uploaded.
  4. What Cannot Be Imported: Notes or additional information stored separately cannot be imported directly. However, details like medical information or photo consent can be added to student and customer profiles later as custom attributes.
By following these steps and guidelines, customer services can efficiently import your customer, student, and staff data into Class Manager, setting up your account for success from the start.

Please note: This may take customer services longer to do in busier periods. If you have a deadline to have your account ready it is always worth preparing ahead of time or asking for an estimated time of completion.

Once your data is imported, you can then start to attach students to their relevant classes ready for marking attendance and billing invoices. For further help on this, click here --> Adding a student to a class
