Setting up Classes' Age Restrictions and Enrolment Date Settings

Customise age restrictions for portal class enrolments and explore the Age Enrolment Date Settings.

Certain classes may require specific age criteria for enrolment. This guide explains how to designate minimum and maximum age limits for portal class enrolments and how this process operates within the system.

You can set the age requirements by modifying the minimum and maximum age parameters on individual classes during setup. If you'd like to change that, here's how:

  1. Click < to the right of Classes.
  2. In the expanded menu click View All.
  3. Select the appropriate season and locate the class (or use our handy global search feature).
  4. Open the class by selecting it, and under the Basic Information tab, you'll find the option to Edit.
  5. Adjust the minimum and maximum age to your liking and don't forget to Save.

Understanding Minimum/Maximum Age Settings

When processing enrolment requests for student class placements, the system references the Age Enrolment Date settings found by:

  1. Click < to the right of Settings.
  2. In the expanded menu click Company and then Information.
  3. Locate the Age Enrolment Date setting on the left side of the page.

This setting enables the system to project the future age of a student from a designated date point. It allows you to select the date that the system utilises to verify the student's age eligibility for a class.

For instance, suppose your Age Enrolment Date setting is March 20th, and you have an upcoming class starting on April 5th with a minimum enrolment age of 11. In this scenario, a student aged 10 but with a birthday prior to March 20th would qualify for portal enrolment, as they would be 11 by the age enrolment date set for March 20th.

However, if their birthday falls after March 20th or if the class starts before March 20th, they would not meet the eligibility criteria for portal registration. This is because the system's calculation, based on the reference date of March 20th, would yield an age of '10'.

💡Alternatively, you can opt to use the student Age at the time of class starting instead of the age enrolment date. You can find this setting on the same page just below the Age Enrolment Date.

Configuring age restrictions and enrolment date settings for your classes provides a tailored approach to managing student enrolments via the portal. By understanding and leveraging these settings effectively, you can ensure smoother enrolment processes and accurate age eligibility criteria for your classes.
